To add a new user to the address book

  1. If the address book is not open, choose Address Book from the Windows menu.
  2. On the Edit menu, point to Address Book, and then choose New User from the pop-up menu.
  3. In the First Name box, type the first name of the person.
  4. In the Last Name box, type the last name of the person.
  5. In the Email Address box, type the e-mail address. For example: Bob@microsoft.com
  6. In the Description box, type any descriptive text, such a title and company, street address, or birthday, you want.
  7. Click Save.

To create a user group

  1. If the address book is not open, choose Address Book from the Windows menu.
  2. On the Edit menu, point to Address Book, and then choose New Group from the pop-up menu.
  3. In the Group Name box, type a name for the group.
  4. In the Description box, type a description for the group.
  5. In the User box, type the name of an entry in your address book. As you type, entries in the address book that match what you are typing are automatically filled in.
  6. Click Add.
  7. Repeat steps 5 and 6 for every user you want to add to the group.

To search for a user or group

  1. If the address book window is not open, choose Address Book from the Windows menu.
  2. In the Search box above the user/group list, type the name of the user or group you are looking for. As you type, only the names that match what you have typed will be visible.
  3. To show the entire list of users and groups again, delete the text in the Search box.

To sort the address book

  1. If the address book window is not open, choose Address Book from the Windows menu.
  2. Click the column heading you want to sort by.

To delete a user or user group

  1. In the Address Book window, select the user or group you want to delete.
  2. From the Edit menu, choose either Delete User or Delete Group. The available Delete command reflects the type of item you select in step 1.

To edit a user or user group

  1. If the address book is not open, choose Address Book from the Windows menu.
  2. Select the user of group you want to edit.
  3. On the Edit menu, point to Address Book, and then choose Edit User/Group from the pop-up menu.
  4. Make changes as needed.
  5. Click Save.

Microsoft Internet Mail and News can import address books from the following applications: Eudora Pro and Eudora Light, Claris Emailer, and Netscape Navigator.

To import an existing address book

Eudora Pro and Eudora Light

  1. From the File menu, choose Import Address Book.
  2. In the Import dialog box, find System Folder: Eudora Folder: Eudora Nicknames.
  3. Click Open.

Claris Emailer

  1. Double-click the Claris Emailer application icon to start it.
  2. From the File menu, choose Export Addresses.
  3. In the dialog box, click Desktop.
  4. In the Specify The Export File box, type a name for the file.
  5. Click Save.
  6. From the File menu, choose Quit.
  7. If Internet Mail and News is not running, double-click its icon to start it.
  8. From the Windows menu, choose Address Book.
  9. From the File menu, choose Import Address Book.
  10. In the dialog box, click Desktop.
  11. Locate the file you exported from Claris Emailer.
  12. Click Open.

Netscape Navigator

  1. Double-click the Netscape Navigator application icon to start it.
  2. From the Window menu, choose Address Book.
  3. From the File menu, choose Save Address Book As.
  4. In the dialog box, click Desktop.
  5. In the Save Address Book File box, type a name for the file.
  6. Click Save.
  7. From the File menu, choose Quit.
  8. If Internet Mail and News is not running, double-click its icon to start it.
  9. From the Windows menu, choose Address Book.
  10. From the File menu, choose Import Address Book.
  11. In the dialog box, click Desktop.
  12. Locate the file you exported from Netscape Navigator.
  13. Click Open.
